Off-platform Workflow Tasks

AI Governance involves a lot of internal stakeholders, and coordinating work between teams can slow down many AI initiatives. In addition, not all teams can/should know all the information about specific AI systems, especially for sensitive AI uses. To help with the information collection process, Trustible is launching a new core workflow capability: Off-platform documentation & questionnaire tasks.

Specific workflow tasks can now be assigned to users via email, and those users do not need to login to Trustible to fill out that information. This process better reflects how many organizations want to collect documentation and question answers for their AI governance committee to review on Trustible.

Here’s how to assign a task to a non-Trustible user

  1. Navigate to a workflow under the ‘Workflows’ tab of any AI use case

  2. Select an eligible task and click ‘Assign’ (NOTE: Only ‘documentation’ and ‘questionnaire’ tasks can be assigned to off-platform users. All other tasks require additional user information for compliance purposes that prevent them from being performed by off-platform users).

  3. At the bottom of the assignment list there is an option called ‘Assign to Email’ under the ‘Other’ category

  4. Once you hit ‘Assign’, a pop-up will appear where you may input an email address. The assigned user will then receive an email with a link to the form to fill out without being logged into Trustible

Updated Vendor Risk Assessment

Many organizations heavily rely on 3rd parties to supply AI models and tools. It can be difficult however to assess the maturity of a vendors own AI governance program, or to identify key AI risks from vendors. To assist with this challenge, Trustible is launching a full overhaul of its vendor management feature.

Trustible now supports an out-of-the-box vendor risk assessment for AI vendors in order to quickly identify any key risk areas for AI vendors. Users can send out a simple multiple questionnaire for vendors to complete, and then review the recommendations across several key risk categories.

Here’s how to conduct the new risk assessments

  1. Click on the ‘Inventory’ → ‘Vendors’, and then click ‘Create’ at the top right and fill out the basic vendor information
  2. Once the new vendor is created, click on ‘Risk Assessment’. You’ll see a new screen here outlines the steps for the risk assessment process.

  1. Click on ‘Request information from your vendor’, this will bring up a pop-up with a link to the vendor questionnaire. This can be sent to any vendor via email/slack. This form only gives the user access to fill out a one-time questionnaire.

  1. Once the vendor has completed the questionnaire, the risk assessment view will now show recommended risk scores across several vendor-relevant categories. These can be over-ridden by clicking ‘edit’.
