Workflow Customization Considerations

Trustible offers the following out-of-the-box workflows, which can be used and reviewed for insight into best practices when developing custom workflows.

Use the three-dot menu to view, duplicate, or download the workflow fixture (JSON). We recommend reviewing the default Intake Workflow to understand the core building blocks used across workflows. For a deeper look at how the default Intake Workflow is structured, refer to the related knowledge article.

Basic Template Information

This section allows admin users to configure the following workflow settings:

  1. Template Name: Define a clear and descriptive name for the workflow template.
  2. Description: Optionally add a description to help users understand when this workflow should be selected.
  3. Inventory Item Type: This field designates whether the workflow will be available on Use Cases or Vendors. Once this has been determined, the type cannot be changed as this will impact of field values. To learn more about Vendors, jump to “Vendor Task Types”
  4. Workflow Completion Email: Customize the email message sent upon workflow completion to share next steps or request additional information from submitters.
  5. Autocomplete Documentation Tasks: Enable this setting to reduce manual entry by automatically populating shared documentation fields across workflows. If a documentation field appears in multiple workflows, the information will carry over.
  6. Tasks: Use tags to structure and organize custom workflow - this serves as a helpful reminder on the types of workflows users are creating.

Task Group Building Blocks

To begin build a workflow, select “+Add Task Group.” Task groups can be rearranged, expanded, deleted and marked “Optional.” Considerations for task groups can be based on ownership/assignee or similar activities.

When selecting “Optional” task groups admin users can select the conditional field for when the task group appears. If any of the selected attributes are present on the inventory item, this task group will be required. Otherwise, the task group will remain optional.
